How to Categorize Spending Without Losing Your Mind
The instinct when you start budgeting is to get granular: groceries, restaurants, coffee, snacks, that one vending machine at work. Within two months the system collapses under its own weight. The fix is fewer, more meaningful buckets.
Start with the big four
- Fixed costs โ rent, insurance, subscriptions, anything predictable.
- Essentials โ groceries, transport, utilities that flex a little.
- Lifestyle โ dining out, entertainment, shopping, the fun stuff.
- Future โ savings, investing, debt paydown.
You can see your whole financial life through those four categories. Only split one out further when a category is consistently large enough that the detail changes a decision.
Let the tool do the sorting
Manual categorization is where budgets go to die. Rules and auto-categorization should handle the recurring 90%. You just review the exceptions each month. If you're spending more than five minutes sorting, your system is too fine-grained.
